This policy explains how NYRA Books Inc. ("Nyra Books", "we") handles information when it provides bookkeeping and accounting services, including through its internal QuickBooks Online integration ("Nyra Books Internal"). Nyra Books is based in Vaughan, Ontario, Canada.
Who uses the integration
Nyra Books Internal is used only by Nyra Books staff to provide bookkeeping services to clients who have engaged us and have authorized a connection to their QuickBooks Online company. It is not offered to the public.
What information we access
With a client's authorization, the integration reads accounting data from that client's QuickBooks Online company: company information, the chart of accounts, transactions, bills, invoices, vendor and customer names, and standard accounting reports. Access is read-only; the integration does not create, change or delete anything in QuickBooks.
How we use it
We use a client's data only to perform the bookkeeping and accounting services that client engaged us for, such as reconciliations, month-end close, financial statements and duplicate-bill checks. We do not sell data, use it for advertising, or share one client's data with another client.
Where it is stored and who processes it
Data is stored in Nyra Books' own business systems: a secured workstation and business cloud storage (Google Workspace). Connection credentials are stored in the operating system's protected credential store and are never written into our documents. We use AI software (Anthropic's Claude) under our direction to help process and review client records; it acts as our tool, not as a separate recipient. Intuit processes data as the provider of QuickBooks.
How long we keep it
We keep client records for the length of the engagement and afterwards for as long as Canadian law requires, including the Canada Revenue Agency's record-keeping requirements.
Disconnecting
A client can disconnect Nyra Books Internal at any time from within QuickBooks Online (Apps, then My apps) or by asking us. Disconnecting stops all further access.
Your rights
Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you may ask to see or correct personal information we hold about you, or ask questions about how it is handled.
